Rental Equipment Policy

Liberty Athletic + Medical Supplies offers rental equipment to support short-term medical, mobility, recovery, and home healthcare needs, including wheelchairs, transport chairs, walkers, knee scooters, cryotherapy units, and more.

Rental equipment remains the property of Liberty Athletic + Medical Supplies at all times. The renter is responsible for the equipment from the time it leaves Liberty until it is returned to and accepted by Liberty staff.

01Rental Period & Extensions

Rental periods, rates, deposits, and return dates are confirmed at the time of rental and set out on the signed Rental Agreement.

  • The minimum rental period is one (1) day for select, ready-to-rent items. Some equipment requires servicing, maintenance, or sanitization before it can be rented and may not be available for immediate pickup; availability and lead time are confirmed at the time of booking.
  • Rental charges begin on the day of pickup and end on the confirmed return date.
  • All rental rates are in Canadian dollars and include applicable taxes.
  • To extend a rental, contact Liberty before the scheduled return date. Extensions are subject to equipment availability and approval.

Late returns: late rental fees accrue starting 24 hours after the agreed return date, unless the rental has been extended in advance or the item purchased outright. Overdue items are charged a minimum of one (1) additional week. Customers are contacted before any late charges are applied.

02Payment & Card-on-File Authorization

A valid credit card is required to rent equipment. The card is captured securely on Liberty's payment terminal and kept on file as the authorized payment method for the rental. Liberty does not record card numbers or security codes on paper.

The card on file serves as security for:

  • Damage beyond normal wear and tear
  • Missing parts or accessories
  • Excessive cleaning or sanitation requirements
  • Late returns
  • Loss, theft, or non-return of equipment

Customers will be contacted before any amount beyond the standard rental rate is charged. Customers paying by cash are required to provide a refundable damage deposit up front, which acts in place of the card-on-file authorization.

03Equipment Condition & Inspection

All rental equipment is inspected and sanitized before each rental, and inspected again when returned. Liberty checks equipment function, overall condition, all parts, accessories, components, and cleaning and sanitation requirements. Equipment must be returned in the same condition it was received, except for normal wear from regular use.

04Damage, Loss, or Missing Components

Customers are responsible for any loss, theft, damage, missing components, misuse, neglect, unauthorized repairs, or unauthorized modifications during the rental period. Repair or replacement of the affected part, or the product in full, may be charged to the card on file at the actual cost of repair or the item's replacement value. Liberty will contact you to review any assessed charges before applying any amount beyond the standard rental rate.

Normal wear and tear means minor cosmetic wear from ordinary use. It does not include damage caused by misuse, accidents, neglect, improper cleaning, improper storage, or unauthorized repairs.

05Cleaning & Hygiene

Rental equipment must be returned clean and free from excessive dirt, stains, odours, fluids, or contamination. Cleaning or sanitation fees may apply if equipment is returned in unacceptable condition.

06Safe Use of Equipment

Customers are responsible for using rental equipment safely and following all manufacturer instructions, staff guidance, warnings, and care instructions. Liberty Athletic + Medical Supplies is not responsible for injury, damage, or loss caused by misuse, improper adjustment, improper installation, unauthorized repairs, or failure to follow instructions.

07Malfunction or Safety Concerns

Contact Liberty promptly if rental equipment is lost, stolen, damaged, malfunctioning, or not working as expected. Do not continue using damaged or malfunctioning equipment.

08Non-Returned Equipment

Equipment not returned within three (3) months of the agreed return date may be considered lost and charged to the customer at full replacement value. Late fees continue to apply.

09Cancellations & Early Returns

A confirmed rental may be cancelled at no charge if Liberty is notified more than 24 hours before the scheduled pickup. Cancellations made less than 24 hours before pickup are subject to a charge equal to one (1) day's rental rate. Once a rental period has started, unused rental time is not refundable unless otherwise approved by management.

10Reservation of Rights

Liberty Athletic + Medical Supplies reserves the right to refuse future rentals, require additional deposits, suspend rental services, or decline rental requests for customers with unpaid balances, repeated late returns, a history of equipment damage, or violations of these rental terms.
